General FAQs
Do my EAC and crew need badges for entry?

Your EAC and team members will need to check-in to the security desk with official identification to pick up up a wristband. This will be located near the main entrance.

Will my exhibitor badges be mailed to me?

Badges will not be mailed in advance of the event and will need to be collected on-site. Further details about how to claim your badge will be emailed to you prior to the show.

When do exhibitors have access to the show floor?

General move-in starts on Saturday, April 6 at 8:00 a.m. Exhibitors with the appropriate exhibitor badge will be allowed access to the exhibit hall. On Show days, exhibitor staff can come on the floor starting at 8:00 a.m. each day. Since not all of your company's staff and attendees will have appropriate badges for early access to the show floor, please do not schedule staff meetings or press conference on the show floor before it opens. Exhibitors must clear the show floor within one hour after the posted show floor closing time. Do not schedule meetings in your booth after the show floor closes as attendees must leave the show floor within 15 minutes.

When do Cruise Lines, Speakers, and VIPs have access to the show floor?

The appropriate exhibitor badge will be allowed access to the exhibit hall on show days starting at 9:00 a.m. each day.  Not all your staff has the appropriate badges and will be denied access without proper credentials.

What is Drayage/Material Handling?

The terms Drayage and Material Handling are one and the same. It is the unloading of your exhibit materials, delivery to your booth, handling of empty containers to and from storage, and removal of your materials from your booth for loading onto your outbound carrier. This is not to be confused with shipping or the over the road cost to transport your exhibit material to and from the event. The unloading of trucks/trailers/vans must be done by Union personnel. Save money on drayage by shipping through the Expo CCI. For more information see the Shipping, Drayage & Material Handling Section in the exhibitor service manual.

How do I know if I need to order labor for my booth?

Full time employees of an exhibiting company may set their own exhibits without assistance from the Union.  Please refer to the ‘Union Jurisdictions’ to determine whether or not you need to hire labor. 

What do I need to do if I want to hang a banner above my exhibit space?

Show Management's approval for hanging signs will be considered for peninsula booths or island booths (20' X 20' space or larger) only, provided the sign is not objectionable in content and there are no physical constraints at the facility. First, submit hanging sign request form to show management for approval. Second, order assembly of hanging sign through Expo CCI.  Third, order the rigging of the sign through Everlast.   

Can I hand carry items onto the floor?

Yes, one load per employee, per day is allowed. Hand carry is permitted through the front door of the hall by one person in one trip, without the use of dollies, hand trucks, or other mechanical equipment.  Using the freight dock to hand carry is prohibited.  

What can I carry in or out of the facility by myself?

Only what you can carry by yourself (one person) in one trip and with no equipment (no dolly or handcart).

If I have my own dolly or hand truck, can I use them?

No, the union has jurisdiction on the operation of all material handling equipment, including dollies and hand trucks.

Can I install my own carpet?

No. Only Union labor may lay the flooring—either Expo CCI labor or an EAC.

I want to use an Exhibitor Appointed Contractor - what do I need to do?

Notify Show Management by Friday, March 8. The Exhibitor Appointed Contractor Authorization form and a Certificate of Insurance must be received by Friday, March 8. All EAC will then be provided with instructions to register with the Worker Identification System through ESCA.

If I am having difficulties with the show rules, a contractor, or union labor, whom should I contact?

Prior to arriving on-site, please reach out to Operations at [email protected]. On-site, Show Management will be accessible at all times. If you do not find someone in your immediate area, you may find us in the registration area or in our onsite Show Management office, located in Lincoln Room A. Please feel free to contact us at anytime.

How do I ship my freight to the event?

There are two ways to ship your freight to the event:

1) Ship in Advance to the Warehouse - This is the preferred way of shipping your materials. Freight can start arriving Wednesday, February 22, and must arrive at the warehouse by Friday, March 17 in order to not incur additional charges.

NOTE: Please do not ship perishable matter to the Advance Warehouse. Expo CCI does not provide Temperature-controlled storage.

2) Ship direct to the Convention Center (Marshaling Yard) - Deliveries will be accepted according to the Target Floorplan. The Target Floorplan can be found in the Shipping, Drayage & Material Handling section of the exhibitor service manual. We will be using a Marshaling Yard to accept deliveries direct. The Marshaling Yard was established to ease congestion and to better utilize the available dock space at the Convention Center. Here is a bullet description of how it works:

• All carriers and vehicles must check in at the Marshaling Yard at the time that corresponds to their position on the Targeted Freight Floor plan.
• Labor should not be scheduled before this time, as your freight might not yet be in your booth.
• All inbound shipments will be weighed at the Yard and must be accompanied by a certified weight certificate and Bill of Lading.
• At the Yard, drivers will be assigned a number and dispatched to the appropriate dock at the convention center as space is available.
• Waiting time at the Marshaling Yard should be anticipated by your carrier.

If my booth is damaged during move-in/move out, what can I do?

Unfortunately, accidents do happen. Expo CCI has very limited liability. Exhibitors are strongly urged to insure the booth and its contents from the time it leaves your facility. In the event that your booth is damaged on move-in, the contractor will do what he can to help you make your booth “event ready”.

I don’t plan to move out on closing day. Will my booth and its contents be secured for the evening?

No. Do not leave anything valuable in your booth overnight. All hand-carried items should be removed promptly after the closing of the exhibits floor. Pack as much as you can, before you leave the hall. Clearly label everything and inform the onsite Service Desk when you intend to return to move out. A bill of lading must be provided for all shipments.

Exhibitor Warning

We want to draw your attention to a number of emails that appear to be targeting exhibitors and attendees of Seatrade Cruise events. 
These emails falsely purport to offer copies of our database of attendee contact details for recent Seatrade Cruise events. Seatrade Cruise events are a part of Informa Markets and organised by Informa Princeton LLC. Informa Markets is continually working to reduce the risk to our exhibitors of fraudulent activity.

Informa Markets is not in any way associated with the sender of these emails and does not engage in the sale or trade of any of its customer lists whether exhibitor, sponsor or attendee. 
We are taking all available steps to investigate and minimize these spurious emails, but it is almost impossible to eliminate this risk entirely, as the emails come from numerous sources and, often, cannot be traced.

In addition, Seatrade Cruise has NOT appointed any company to call you directly and sell attendee lists.
